Client Coordinator

The Client Coordinator manages client requests for IT equipment (computers, phones, servers, etc.) and oversees the full order process from start to finish. This includes coordinating with clients, obtaining vendor quotes, placing orders, tracking deliveries, and ensuring the technical team has everything needed for setup and installation.

We are a managed IT services company providing technology solutions and ongoing support to business clients. As we continue to expand, we’re looking for a Client Coordinator to help manage client orders, coordinate IT equipment delivery, and support both our clients and internal teams. This is a hands-on, many-hats role where no two days are the same.
Position Summary
The Client Coordinator manages client requests for IT equipment (computers, phones, servers, etc.) and oversees the full order process from start to finish. This includes coordinating with clients, obtaining vendor quotes, placing orders, tracking deliveries, and ensuring the technical team has everything needed for setup and installation.
This is an office-based role, not a warehouse or inventory position. Success requires organization, trustworthiness, follow-through, and strong client communication, as well as the ability to work closely with our internal team to support smooth operations. This role is critical to ensuring clients receive the right equipment on time and that our technical team can implement installations seamlessly.
Key Responsibilities
- Process customer orders and collaborate with internal teams throughout the workflow
- Obtain pricing and quotes from vendors and suppliers
- Send quotes to clients and follow up for approval, ensuring accuracy and professionalism
- Place orders and track shipping/delivery timelines
- Ensure items arrive at the office and coordinate handoff to the technical team for setup and installation
- Maintain professional, proactive communication with clients, while working in partnership with internal team members
- Collaborate with internal teams to support smooth installations and deployments
- Assist with general administrative tasks and client communication as needed
- Maintain accurate order and client records
Required Skills & Qualifications
- 1–3+ years of experience in client coordination, order management, or similar roles
- Highly organized and able to manage multiple clients and orders at once
- Trustworthy and detail-oriented — critical for accurate orders and client/vendor interactions
- Strong written and verbal communication skills; professional and client-focused
- Comfortable working collaboratively with internal teams
- Ability to follow through independently and proactively
- Basic proficiency with office software (email, spreadsheets, order systems)
- Ability to learn technical product specifications
Preferred Experience
- Experience in IT, managed services, or technology environments
- Familiarity with vendors such as Lenovo, Juniper, or similar manufacturers
- Experience with PSA, ticketing, or purchasing systems (Halo experience is a plus)
